Terms of service

KavaRoutes is a US-based, unincorporated software business offering dispatch, route planning, client records, and invoicing tools to non-emergency medical transportation providers in all 50 states. “We” and “us” refer to the business operating KavaRoutes; “you” refers to the person or business using the service.

The service is intended for US business use. You must be at least 18 and authorized to act for your organization when creating or managing its account. These terms govern use of the website and software. If your business has a separate written agreement with KavaRoutes, that agreement controls where its provisions conflict with these terms.

Provide accurate account and business information, keep credentials and devices secure, and grant access only to authorized users. Each user must use the access assigned to them. Your business is responsible for managing membership and promptly removing access when a person’s role ends.

Do not share passwords or session cookies. Sign out on shared devices, use “Sign out all devices” when appropriate, and report suspected unauthorized access to [email protected]. You may not access another business’s records or bypass account, membership, or security controls.

KavaRoutes supplies software. Your business provides transportation and remains responsible for passenger care, driver qualifications, insurance, vehicle suitability, schedules, dispatch decisions, and applicable laws and payer or broker requirements.

Route directions, distances, travel times, and cost calculations are estimates. Review addresses, road restrictions, pickup access, assignments, and passenger needs before use. Road conditions and external navigation can change. The software does not guarantee arrival times, reimbursement, or a particular operational result.

Drivers must follow traffic laws and use devices safely. KavaRoutes is not an emergency dispatch or medical advice service.

Your business retains its rights in the information it supplies. You authorize KavaRoutes and the providers supporting the service to process that information as needed to operate the features you use, protect the service, and respond to your instructions.

You are responsible for the accuracy and lawful collection, use, and sharing of passenger, employee, and business records, including any necessary notices or permissions for driver location tracking. Maintain the records and backups your business needs, and review invoice exports before submission.

These terms and the privacy policy do not constitute a HIPAA business associate agreement. Do not submit protected health information unless the necessary written agreements and safeguards for your use have been established. Contact us to discuss data requirements before supplying sensitive records.

Use the service only for lawful, authorized business purposes. Do not attempt to steal credentials, probe or exploit accounts without authorization, upload malicious code, interfere with service operation, harvest private records, or evade access limits. Contact us about suspected vulnerabilities without exposing another user’s information.

KavaRoutes retains rights in its software, branding, and website content. Access to the service does not transfer ownership of those materials. Do not misrepresent KavaRoutes or resell access without a written agreement.

The advertised business trial lasts seven days and does not require a card to start. Access depends on account verification, workspace readiness, and trial or subscription status. When trial access ends, continued access requires an available and valid entitlement.

Current pricing is described on the pricing page. Introductory pricing is subject to change. Checkout is currently in testing; completing a test checkout does not create a paid subscription or extend the trial.

Before accepting a real payment, we will present the applicable price, billing frequency, renewal, cancellation, and refund terms. These terms do not authorize a charge or replace those purchase terms.

Features may change and service may be interrupted for maintenance, provider outages, or security work. We do not promise uninterrupted availability or error-free results. Review important records and operational decisions, and maintain a practical backup process for dispatch.

To the extent permitted by applicable law, the service is provided as available without warranties of fitness for a particular purpose, and KavaRoutes is not responsible for indirect or consequential losses arising from its use. Nothing in these terms excludes liability or rights that applicable law does not allow to be excluded.

You may stop using the service and contact [email protected] to request account closure or help exporting records. We may restrict or suspend access for unauthorized use, a security risk, a legal requirement, or an expired entitlement. Where practical and lawful, we will explain the issue so it can be addressed.

Signing out revokes access sessions; it does not delete the account or its records. Account closure and information requests are handled as described in the privacy policy. Any future paid subscription cancellation will also be subject to the purchase terms shown when subscribing.
