An NEMT dispatch checklist for a workable day.
A practical review of the trip details, assignments, and road choices that deserve attention before drivers leave.
Confirm the trip details.
- Check the service date, pickup address, drop-off address, and appointment or arrival window.
- Allow for pickup access, boarding, handoff, and any confirmed assistance requirements.
- Review the return trip: a fixed pickup and a will-call return require different communication.
- Confirm cancellations and changes with the appropriate party before dispatch.
Review the driver and vehicle assignment.
- Check that the assigned driver and vehicle are available for the run.
- Review vehicle seating, accessibility needs, and required equipment.
- Consider existing work, breaks, service windows, and where the vehicle starts and ends.
- Check that the driver can access the correct itinerary and knows how changes will be communicated.
Choose and inspect the road routes.
- Compare estimated driving time and distance for each trip leg.
- Inspect pickup access, road restrictions, and difficult maneuvers.
- Save the reviewed road-route choice and check that it is available in the assigned driver’s itinerary.
- Allow for variation in travel time; a map estimate does not include every delay at pickup or drop-off.
Keep the records ready for the next step.
After service, review trip progress and the records used for costs and invoicing. Confirm your payer’s documentation and submission requirements separately. Operational checklists do not replace contractual, clinical, or regulatory requirements.
